How To Get A FREE Professional Email Address For Your Business

Blue Cheese Digital > Blog Standard > Business > How To Get A FREE Professional Email Address For Your Business

Having a professional email address really isn’t as difficult as people may think. There is only one asset that you need in order to get a professional email, and that is a Domain. Domain names are just like a contact in your phone. Rather than typing a complicated set of numbers (the IP address) into your browser, you type in a domain name.

If you have a website or domain you can get an email for FREE!
One thing that drives us crazy is seeing a business with an email address @gmail.com or @aol.com! Have you wondered how this looks to your clients and future business prospects? Not cool, we can tell you.

If you’re emailing a potential customer and your business or brand email is ending in gmail or AOL, it isn’t saying “we are a professional business”.

What if a potential customer (or customers) have second thoughts, or worse still, potentially won’t trust you for fear of a phishing scam?

A business email address is essential for brand awareness and professionalism; you will also find people may respond to you more frequently as they will recognise your brand name within your email address.

There is no need to go looking online for “email management companies” for xxx amount a month; in reality, all they are doing is going to your domain and editing a few DNS entries. They are charging you for a 10-15 minute job! Look after the pennies and all that…

In the next section we will explain how to setup a free email address using Zoho (we actually use this for ourselves).

How to get your FREE Email Address:

  1. Go to https://mail.zoho.eu/orgsignup.do?plan=newMail5gb & create an account by using the domain that you own.
  2. Type in all the necessary details that you see on screen; such as Name, Admin Email, Contact Email etc and click on ‘Sign Up’.
  3. Verify your account. Zoho will text you a number to your mobile phone; they do this to make sure you’re not a robot/spamming the form fields.
  4. Once you have verified your account you will be asked to verify your domain. Login to your host/domain provider (this could be Names, 20i or GoDaddy, for example).
  5. Once logged into your domain provider go to ‘Manage DNS’.
  6. Copy the code Zoho will provide you; it will start with “zb****”.
  7. Paste this into your DNS and save it as a TXT record; if you can, feel free to change the TTL’s to “30 minutes”.
  8. Once you’ve added your TXT record to your DNS, go back to Zoho and click “verify by TXT”.
  9. Congratulations! You’re almost there; you’ve now setup the process to a Zoho free business email account. Click on ‘Create Account”. You can now choose your “Super admin account”.
  10. Once you have created your account, you will now need to setup some MX records; this allows sending/receiving emails.
  11. If you haven’t logged out of your hosting provider; go back to the DNS entries and enter these MX Records as followed:
Zoho MX Records to be added for your DNS, for business email address
  12. Once you have setup the MX records on your hosting account your email account is ready!
